The British Embassy in Berlin is part of a world-wide network, representing British political, economic and consular interests overseas. The Embassy is now looking for a Deputy Team Leader / Driver, based in Berlin.

Aufgaben

Our new Deputy Team Leader / Driver will provide administrative and transport support to the Defence Section (DS) of the British Embassy in Berlin to enable the section's objectives. This includes, but is not limited to: general administration, assisting in the management of the transport programme and section's vehicle fleet, co-ordinating the processing of diplomatic clearances, helping with section business planning, assisting on the management of data and information, support to and organisation of visits and events, event management, and driving duties. During the Office Team Leader's absences the post holder may be required to be the focal point for managing critical office outputs.

Roles and responsibilities:

  • In collaboration with Embassy colleagues and partners (e.g. British Council and Visit Britain), to design and deliver engaging content, events and activities which promote the UK's brand as an open and responsible partner for Germany. To co-ordinate the Embassy Comms Team's work on the GREAT Britain campaign. (35% of time)
  • General administrative duties to ensure that the Defence Section is supported to deliver as effectively as possible, including the provision of business planning and support to the wider section when required for specified projects.
  • Co-ordinate the timely and efficient management and processing of Diplomatic Clearance bids for all visiting ships, aircraft and personnel.
  • Driving duties (40%) as the second driver in support of DS activities and care of DS vehicles.
  • Assist the Office Team Leader in preparing the DS transport programme and managing the vehicle fleet, working alongside the Embassy Transport section as necessary.
  • Provide flexible support and contribution to the planning and logistics of conferences, ceremonies, receptions, events and other activities.
  • Assist with programmes and logistics for external visitors, such as organising transport, and contributing towards briefing packs.
  • Assist the Office Team Leader to ensure DS data and data-bases are well-maintained and managed, as well as helping in the introduction of new software tools to improve section efficiency.
  • Participate in wider Embassy initiatives as required, including engaging in a corporate role.
  • Deputise during the Team Leader's absences to maintain critical office outputs.

Profil

Our Ideal Candidate shows:

  • Fluency in English (both written and spoken, minimum of C1 level for CEFR*) and good command of German, especially reading skills (at least B1 level for CEFR*);
  • A minimum of 3 years of professional driving experience;
  • Minimum 3 years of administrative role or similar (logistics, transport planning, managing calendars and travels or similar);
  • Proven organisational and time management skills;
  • Strong communication and interpersonal skills to interact with colleagues, clients, and other stakeholders with clarity and professionalism;
  • The ability to work with diverse groups of employees, fostering collaboration and teamwork within the office, as well as promoting a harmonious work environment;
  • Proficient in MS Office 365 packages, especially Excel, PowerPoint, Word and Outlook, as well as have the ability to adapt to new technologies to streamline office operations;
  • Ability to embrace change and can quickly adjust to evolving business needs;
  • Ability to always keep confidentiality;
  • Impeccable driving record with a clean driving licence;
  • Ability to work flexible hours, including occasional early mornings, late evenings and weekend;
  • Ability to travel throughout Germany when required.

Desirable qualifications, skills and experience

  • Previous experience working within UK Defence or other UK government department;
  • Professional and VIP driving experience;
  • Experience in managing data.

Wir bieten

This is a full time (40 hours a week), fixed-term 2 year contract with the possibility of a permanent contract subject to performance and funding. Salary €51,564.- rising to a maximum of approx. € 57,922.- gross per annum after a qualifying period in addition to performance related pay (salary is not negotiable). Candidates must have pre-existing work authorisation in Germany in order to apply.

Staff recruited locally by the British Embassy are subject to Terms and Conditions of Service according to local German employment law.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Germany and be prepared to ensure that right remains throughout the scope of the contract.

Please note that it is your responsibility to ensure you meet the legal requirements to live and work in this country.

Working hours will be governed by German law with normal working hours will normally remain between 07.30 and 19.00 from Monday to Friday. However, operational demands may determine that this may change, including weekends, and during busy periods they may occasionally be asked to start early or finish late. The role will principally be based in the British Embassy, Berlin.
